SignDocs for Schools and Universities

SignDocs is the perfect solution for schools and universities to create and issue digital certificates or diplomas. It offers a streamlined process from creation to validation of such certificates.

The workflow is simple: import your existing PDF certificates or diplomas into SignDocs, or let SignDocs create such certificates based on a template. SignDocs will then place a unique QR code onto each PDF file, and proceed to signing. Whoever needs to sign the diplomas receives an invitation link, and can sign whole batches with a single click.

Once the process is finished, SignDocs provides you with two versions of the certificate:

• a QES signed PDF file for digital storage, and
• a PDF with visual signatures for printing, if desired.

The digital version is placed on a long-term storage system, and made available for 50 years. This version can always be accessed by scanning the QR code.

Two-tier validation

Digital certificates generated in this way can be validated in two ways:

1. Scanning the QR code opens the original document, typically hosted by the issuing institution (school or university). The institution thereby confirms that this document exists, and is valid. The obtained copy (whether on paper or digital) can be compared with the original document.
2. The QES signature can be validated using the validator of the Swiss confederation, or any other QES signature validation tool inside or outside Switzerland. The recipient of the certificate thus has a method for independent validation.

On-premise hosting, and integration

SignDocs can be hosted on-premise, and integrated into the IT system of the school or university. It offers a complete HTTP/REST interface for fully automated import and export of diplomas, grade sheets, or student lists. Our IT team will help you set up and integrate the solution into your IT system.
